Bike Rental Terms & Conditions

1) Booking and Payment

  • Full payment is required at the time of booking.

  • A valid credit or debit card must be provided for a security deposit (pre-authorisation of £250 per bike). No money is taken unless damage or loss occurs.

2) Identification and Deposit

  • Customers must provide a valid photo ID (driving licence or passport). Bikes cannot be released without this

  • A £250 security hold will be placed on the payment card per bike, released within 5–7 working days after safe return.

3) Customer Responsibility

By renting a bike from Cranborne Chase Escapes, you agree to:

  • Use the bike in a safe, lawful, and respectful manner.

  • Take all reasonable precautions to prevent damage, theft, or loss.

  • Never leave the bike unlocked and unattended.

  • Only use the bike for personal recreational use (not racing or commercial use).

  • Return the bike at the agreed time and location, in the same condition as provided.

4) Loss, Theft, or Damage

  • You are liable for any loss, theft, or damage to the bike during your rental period.

  • In the event of:

  • Theft: You must report it to the police and provide us with a crime reference number.

  • Accidental damage: You may be charged for parts, repairs, or a portion of replacement costs, depending on severity.

  • Negligent damage or total loss: You are responsible for the full replacement value of the bike (up to £4,000).

5) Security and Responsibility for the Bike

You are responsible for the bike for the duration of the rental period and must take reasonable care to prevent theft or damage.

We do not require you to carry heavy locks but instead provide access to secure locking options at designated locations along recommended routes. A lightweight lock may be provided for short, supervised stops.

You agree not to leave the bike unattended and unsecured at any time. If stopping, please use one of our approved lock points or take the bike with you. A list of these locations and instructions will be provided before your ride.

In the event of theft due to negligence (e.g. leaving the bike unlocked and out of sight), you may be liable for the replacement cost of the bike.

6) Late Returns

  • Please return bikes at the agreed time.

  • Late returns may incur additional charges of £10 per hour or part thereof unless previously agreed.

7) Cancellation and Refunds on Bikes

  • Free cancellation is available for bookings cancelled 72 hours or more before the rental start time (minus a 5% administration fee)

  • 50% refund for cancellations made between 24 and 72 hours before the rental start time.

  • No refund will be issued for cancellations made less than 24 hours in advance or in the case of no-shows.

  • We offer a one-time reschedule (subject to availability) for cancellations made with at least 24 hours' notice.

To cancel or reschedule, please contact us as soon as possible. While we’ll always do our best to accommodate changes, this policy helps us manage demand and keep things fair for all riders.

8) Helmets and Accessories

  • Helmets are provided and strongly recommended.

  • Other accessories (locks, lights, pumps, repair kits) are provided where appropriate. You are responsible for their care and return.

9) Liability Waiver

Cranborne Chase Escapes is not liable for:

  • Injuries, accidents, or third-party claims arising during your rental.

  • Delays or cancellations caused by factors outside our control (e.g. weather, mechanical issues, theft, etc.).

You agree to assume full responsibility for your own safety and that of any minors under your care while using our equipment.

10) Accidents and Injuries

All riders participate at their own risk. By renting a bike, you confirm that you are physically fit and capable of undertaking the planned ride.

In the event of an accident or injury:

  • Please seek appropriate medical attention immediately.

  • Contact us as soon as you are able so we can offer assistance and, if needed, help recover the bike.

  • In serious cases, call 999 and request emergency services.

We accept no liability for injuries, loss, or damage sustained while using our equipment unless caused by our proven negligence. We recommend all riders carry a charged mobile phone, and we strongly advise the use of helmets and appropriate safety gear, which can be provided on request.

11) Eligibility to Ride

By booking a rental, you confirm that:

  • All riders are at least 14 years old, in accordance with UK law for riding e-bikes on public roads.

  • All riders are in suitable physical condition and confident cycling off-road where applicable.

  • You accept full responsibility for assessing your own (or your group’s) fitness and ability to safely complete the planned ride.

We reserve the right to refuse hire or adjust the route if we believe it would compromise safety. If you're unsure about your ability or the difficulty of certain routes, please contact us in advance — we're happy to advise.

12) Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
